Grade release agreement

[Member Name], hereby give my permission to the Â鶹ÊÓƵ to release my semester and cumulative grade point averages to the following organizations and persons:Ìý

  • Â鶹ÊÓƵ Office of Fraternity & Sorority Life
  • My local chapter office or equivalent
  • My organization’s (inter)national office or equivalent
  • My chapter advisor and/or the designated agents of the fraternity or sorority for which I am a member

This information may be released for the duration of my membership in a recognized fraternity or sorority while I am a student of the Â鶹ÊÓƵ.Ìý

I also give my permission for the above organizations and persons to see my semester and cumulative grade point averages for the duration of my membership in a recognized fraternity or sorority while I am a student of the university.

My semester and cumulative grade point averages will be released by the Office of the Registrar at the Â鶹ÊÓƵ to the above organizations and persons for the purpose of determining eligibility for membership in the above named organizations and/or ability to hold leadership positions within the fraternity or sorority.Ìý

    Members release grades

    Once the form is submitted, the students are then added to their chapter roster and will remain there until the chapter notifies FSL, typically during roster review.

  2. November and April

    First roster

    At the end of each semester (November and April) FSL will work with each chapter advisor to ensure each chapter roster is up to date:Ìý

    • If a member is missing from the roster, it is the responsibility of the chapter to obtain permission.
    • If a member has graduated, trasnferred or resigned membership, the chapter will indicate this status on the roster that is emailed to the advisor.Ìý
  3. Mid-February and Mid-June

    Permission to run report

    In order for FSL to receive the most accurate grade report, we are required to wait until several internal university deadlines have passed. The final deadline, which is typically 30 days after the start of the next semester, is the last time faculty can change grades without going through an extensive grade change process. This also ensures that our reports are as accurate as possible. Additionally, the all-women’s and all-men’s GPA is not calculated until the deadline has passed.Ìý

    Once the semester ends and all university deadlines have passed, FSL is given permission from the Office of the Registrar to run the report. This is a moving target. There are other variables that may hold up this process that cannot be controlled by FSL or the Division of Student Affairs.Ìý

  4. Late February and Late June

    Second roster sent

    At this time, the report that is generated includes every student in the community. FSL staff create individual chapter reports and calculate the overall community GPA.Ìý

    Once these are complete, reports are sent to each chapter for one last review. At this time, only subtractions from the roster are permitted.

  5. Early March and Early July

    Final report sent

    Final report is generated and distributed to chapters.
