Ticket Cost: Enter the ticket cost. If there is no fee for the event, leave the box blank.

Ticket URL: Enter the link where tickets can be purchased. 

Registration:

Ticket Cost: Leave the box blank.

Ticket URL: If the event requires registration put the registration URL here and confirm the ticket cost field is blank.

Basic Accessibility Checklist

  • Avoid All Caps - Screen readers may read text that is written in all caps as the letters instead of the words. All caps is generally harder to read because the words lack the shape of letters.
  • Lists - Use lists to group similar information, such as topics covered in a talk. Lists are easier for all users to consume. Lists are well supported with assistive technology.
  • Links should be clearly labeled, descriptive, and readily identified. Link text should make sense when read by itself; using generic labels like "click here" and "more" without the use of a supplemental description is discouraged. Do not use the raw URL address for your link text.
  • Images that convey information or meaning must have descriptive alternative text. Images of text are discouraged. You may use an image that has a few words such as "Coffee Hour" where you may include the text in the image in the photo caption.

Digests can be customized to match your preferences for upcoming events. You choose the day of the week, and when that day comes, your inbox will have upcoming events that you know you'll be interested in.

Digests are a great way to stay informed and engaged in your community without having to proactively visit this site.

Login

You may login and create an account to receive email digests and take advantage of the other features of the calendar available to calendar users.

Click the Login link at the top of the  . Use your CU Identikey username and password to sign in.

Click the Build and Email Digest button.

Configure Your Digest

Select the parameters and filters to customize which events will appear in your digest.

Once you have submitted an event, the event will need to be approvedyou have the ability to modify, delete or copy the event. You may only modify or delete an event that you created.

Locate Your Event

  1.  with your CU Identikey and password
  2. Find the event page in event calendar and click on the “Edit Event” link under the location map on the event page.

Editing or Copying an event saves you time so you do not need to create a similar event from scratch or if you have a series of events, you may modify the series. You may change the title, description, date and time, location and other information. Event type and department tags can also be added. You may also delete an event if the event is a duplicate.

Add Additional Dates

Additional dates for an event can be added to an existing event by adding new dates  in the schedule fields then clicking the “ Include Above in Schedule” button above the Confirmed Dates. Refine the new additional dates list as needed.

Remove an Event Type or Interest Tag

If you wish to remove an event type or interest tag, click on the red “X” on the right side of the tag box.

Save

Once all the necessary changes have been made, click on one of the “ Save Changes” buttons located on the top and bottom of the form.

You will see a box at the top of your screen confirming you have saved the event 

Note: Pending Event Status

When you make changes to an event that has been approved and is live, it will place the event in the pending queue again for admin approval.
If this is a time sensitive update to the event, you may also email the Calendar Admin to give them a heads up so they can go in and approve the event again. events@colorado.edu

There are two ways to create RSS Feeds from Localists:

1. Use the open subscribe RSS feeds

2. As an event admin, use the Widget Builder to create a feed


RSS feed via open subscribe link

Subscribed feeds cover 13 months (from 1 month ago to 1 year from now)  or the first 1,000 events within that date range. 

For example, if there are 1,000 events in the first 6 months then the feed’s initial pull will only cover that date range.

The following information will be shown with the feed:

  • Title
  • Date
  • Start time
  • Description
  • Category  (Event Types in Localist)
  • Places: place names are appended to the end of the title, such as Senior Concert at Arts Center

Find the event group, filter or tag on the events calendar

Filtered results: the Localist platform has a built-in RSS subscription box on every filtered results page (this is not available on the homepage). The subscription box is located to the right of the event listings and underneath the filters towards the bottom of the page.

Location of RSS link

On some pages it may not be very obvious where the RSS icon link is located. Here is how to find the RSS icon:

For Group and Places Pages

Navigate to the Group page and scroll down to the "View full calendar" link. On the Full calendar view for the Group the RSS icon can be found in the right column under the filters at the bottom of the page.

For Filtered and Tag pages

You can find an RSS icon on any filter page at the top of the page by the Filter Title.

Event Users and Admins have more options to create a customized feed using the Widget Builder.

You should first follow the instructions for how to use the widget builder in the Calendar Widget Builder tutorial.

How to Convert Preview Widget to RSS

Once you've filled out all the fields to create your custom widget you should go to Preview Widget:

The URL to the widget’s preview page will say  format=html or format=html&template= at the very end of the string. You will most likely need to use your cursor to move to the end of the URL string.

Change from HTML to  RSS so that the end of the URL string is format=rss (be sure to remove the &template= part as well)

Your page display should change to show you the XML output of the RSS. From here just copy the RSS URL for your purposes.

The University Events Calendar is only for events organized, hosted, sponsored or co-sponsored by University departments, colleges, centers and institutes, and officially sanctioned student organizations. Events may be open to the campus community — including faculty, staff, students, and/or alumni — or open to the general public. Events may be hosted on- or off-campus.

Event submissions from individuals or organizations from outside of the University will not be accepted, with the exception of conferences or other events (either sponsored by the University or have a broad appeal to the University community) that are held in University venues.

Events must be submitted through the  Submit Events form. Events that do not meet the University Events Calendar requirements may be sent back to the requester for modifications or may be declined. Personal events or solicitations are not permitted, and will be declined. Please review the University Events Calendar submission requirements below for further information on the event submission approval process.

The University reserves the right to approve, deny or make special considerations for any event submitted to the calendar.Posting an event online will help draw people to your event.  Make sure that you make the most of this opportunity.  Below are a few best practices for submitting your event.  

Submission Requirements

Before you submit

  • Your event must be a University affiliated event per the University Events Calendar guidelines.
  • Reserve your location before submitting your event to the calendar.
  • Confirm that all of your event information is current and accurate.
  • Proofread your event information.
  • Review some of the existing events on the calendar to familiarize yourself with the general style and format for events. Also review the best practices.
  • Submit your event well in advance of the event date, and 
  • If you are not an event admin, you event submission will require approval, so allow 24-48 hours for calendar platform administrators to review and post an event.

Event approvals

Using the event submission form does not guarantee that your event will be published to the University Events Calendar. All submitted events must be reviewed and pre-approved by the applicable group calendar administrator. When an event is submitted, the requester will receive the following email notifications:

  • An email confirming the event submission
  • An email confirming or denying event approval

Files and images

  • Do not include images that may be offensive, inappropriate or in violation of copyright laws or University policies. Images should be appropriate for the event being submitted. Do not upload images with embedded text on the image. These images are not accessible.
    Ex: portraits of speakers, photos of venues, or CU stock photos
  • Image size should be 350px (width) x 350px (height).
    Uploaded files should be no larger than 2000px x 2000px

Featured events

Featured events are featured on the landing page of the calendar. Designation as a featured event is at the discretion of the Strategic Relations and Communications. Bear in mind that featured events may be updated frequently, and we cannot guarantee how long your event will be featured on the calendar landing page.

Logging in to the calendar gives you access to many interactive features. University of Colorado Boulder students, faculty and staff with a valid CU Identikeys have the most access to the calendar and may be given Event Admin and/ or Group Officer permissions. 

Members of the general public can create and login using any of the other platform account options. This account still gives you access to many of the basic calendar features such as a personal calendar, track events you are interested in, and set up event reminders. You may also create a custom profile.

If you do not log in at all, you will still be able to see all events and share events to social media.

Login

Click the Login link at the top of the  . Use your CU Identikey username and password to sign in if you are affiliated with the University of Colorado Boulder.

Members of the general public can login using any of the other platform account options.

Events can be marked as Public, Unlisted, or Restricted to specific locations. The group calendar landing page is the public visibility option. You may configure an event to display in a Localist block on a website and not on the group calendar landing page using the restricted visibility option.

Configure Event Visibility

  1. In the Visibility section on the Events Details page choose restricted option from the visibility drop down.
  2. Check the box next to Widget. This will restrict the event so it will only appear in a block on your website and not on the public events calendar.

There are several options to show events from interests, event types, audiences, groups, and more. Review the  to determine what works best for you and your audience. Once you have identified an interest, event type, audience, group or tag, you can add the new Localist Events block to your site. 

Here are a few of the most commonly used central classifications: 

  • : All dates and deadlines pertaining to registration, class add/drop, tuition and financial aid. The registrar's office is the only group allowed to use these filters.
  • A selection of events covering cross interest and campus affairs use the Featured Events event type. See the Event Calendar FAQs to learn more about desinating an event as a feature event.
  • : Use the Interest filter to display all events tagged Arts & Culture. Other options our to display groups who have a art or culture focus, such as:
    • Fiske Planetarium
  • Entrepreneurial: Use the filter  or consider adding the following groups:
  • : This filter is a great listing of the different fun and social events across campus.
  • : This is an Audience filter for Business & Industry Community that can be used to pull in events related to this

The Campus Calendar is integrated with the university web platform; Web Express. Web Express offers several event blocks that may be placed on a site and configured to display your events. All events blocks offer specially themed display option so your events will coordinate with your site theme. See  to learn more.

Note: If you have a Web Express site - You do not need to create a Campus Calendar Widget - use the Localist event block that comes with the Localist Events Bundle.

If you do not have a Web Express site, you can create a widget to display a list of events from the university calendar on your unit’s website. The Widget builder can also be used to also create custom RSS feeds if needed. You would use the RSS feed block in Web Express to display the feed.

Follow the instructions below to get the widget embed code from the new calendar system. This code can be used on any site.

Build Widget

You may create a Calendar Widget from the Calendar homepage.using the   link.

For more features and functionality log into the Events Calendar with your CU LOGIN

  1. Go to: calendar.colorado.edu.
  2. Click the Login link
  3. Click Log in with CU Identikey 
  4. Enter your CU Identikey and password and click LOGIN

Click the Calendar Admin link beneath your profile image

In the admin dashboard, click Content and select Widget Builder

Use the dropdown menus on the webpage to choose the settings you want.

Template: From the dropdown select one of the pre-designed templates: See Demo site Events Block examples. Leave as default to select the Display Options below. (recommended)

  • Default - title, image (left), time, date, description, location & interested button
  • Express Template 1 - title, image (right), time, date, description & location
  • Express Template 2 - Icon design: title, image, time, date, description & location
  • Express Template 3 - List design: title, date
  • Express Template 4 - Icon card design: title, time, date, description & location
  • Express Template 5 - Image card design: title, image, time, date, description & location
  • Express Template 6 - Image card design 2: title, image, time, date, description & location

Number of Results: Set the widget to show your preferred number of events (Maximum of 50)

Days Ahead: Set the widget to display events with specific days ahead (Typical is 31; Maximum of 365)

Content

Groups: Select all that apply.

Places: Select all that apply.

Event Type: Select all that apply.

Interest: Select all that apply.

Audience: Select all that apply.

College, School & Unit: Select all that apply.

Academic Calendar: Select all that apply.

Faculty / Staff Calendar: Select all that apply.

Keywords and Tags: Enter all applicable words.

Only Show Featured: When checked, only events flagged as a featured event will be included.

Only Show Sponsored: When checked, only events flagged as a sponsored will be included.

Include All Matching Instances: If checked, the widget will display all recurring instances. If not checked, the widget will only display the first instance in the recurring chain.

Hide Past Events: If checked, the widget will not display past events. Check or uncheck this box to meet your needs

Content Must Match: Select the option that best meets your needs.

  • At least one place, group, keyword or tag, and one filter item.
  • Any place, group, keyword or tag, or filter item.
  • At least one place and group, and all keywords, tags, and filter items.
  • Any place or group, and at least one keyword or tag, and one filter item.

Note: If you embed the widget code some events are not showing up - check this setting to start troubleshooting the issue

Excluded Content: 

Any filters specified in these drop downs will not be included in the widgets. This is helpful in an “show all, but one” situation. Note: If you embed the widget code but none of your events show up - check this setting again to ensure you have set the widget up to show your events and not exclude them

Event Type: Select all that apply.

Interest: Select all that apply.

Audience: Select all that apply.

College, School & Unit: Select all that apply.

Academic Calendar: Select all that apply.

Faculty / Staff Calendar: Select all that apply.

Display Options

  5. Hide Event Images: Photos will be completely hidden.
  6. Hide Event Times: Times will be completely hidden.
  7. Open Links in New Window:  If an event is selected, another window will open.

Generating Your Widget

After you have made all necessary specifications, you will see two options to generate your widget results. Note:  No saving is required.

  1. Preview: This option will open your widget results in another tab. The results will be not be styled. On this page you can confirm that the correct events are showing and that the output options are working as expected.
  2. Generate Embed Code: After you have previewed your widget and confirmed that the results are correct, select Generate Embed Code. Selecting this will display the embed code for your widget to be included on your website page.Copy the code to clipboard Embed Widget Code to place on your web site
